1. About HERtribe

HERtribe is a community-led brand that supports female business owners and leaders through curated retreats, coaching, events and experiences designed to foster wellbeing, connection and personal growth. Participation in HERtribe experiences assumes agreement to the following Terms and Conditions.

2. Booking & Payment

• All retreat or event bookings must be paid in full at the time of booking unless otherwise stated.
• Payment plans may be available for certain events and must be agreed in writing.
• Your place is not confirmed until payment is received.
   

3. Cancellation Policy

Client Cancellations:

• More than 60 days before the event: 50% refund (50% retained for admin and planning costs).
• Less than 60 days before the event: No refund due to venue, catering and preparation commitments.
• Transfers to another person may be possible with prior agreement.
   

HERtribe Cancellations:

• If HERtribe cancels an event due to unforeseen circumstances, you will be offered a full refund or the option to transfer to a future date.
• HERtribe is not liable for any travel, accommodation or other associated costs.
   

4. Ways of Working – Creating a Safe Space

At HERtribe, we are committed to creating a safe, respectful, and inclusive environment. By participating, you agree to:

• Honour confidentiality and not share stories or personal reflections outside the space unless explicit permission is given.
• Treat others with kindness, respect, and non-judgement.
• Avoid giving unsolicited advice.
• Take responsibility for your own wellbeing during and after the event.
• Raise any concerns discreetly with the event hosts.
   

HERtribe reserves the right to ask any participant to leave if their behaviour compromises the safety or wellbeing of the group. No refund will be given in this instance.

5. Confidentiality

We treat all conversations and shared experiences during HERtribe retreats and events as confidential. However, we are not bound by legal privilege, and exceptions to confidentiality include:

• Risk of harm to self or others.
• Disclosure of illegal activity.
• Information required by law or court order.
   

Where appropriate, anonymised themes may be discussed in professional supervision to ensure the highest standards of care.

6. The Nature of the Coaching Relationship

HERtribe experiences may include coaching elements that invite deep personal reflection. Participation acknowledges:

• Coaching is a holistic process that may touch on areas of life such as work, finances, health, relationships and personal development. You are solely responsible for how you apply insights or actions in these areas.
• Coaching is not a substitute for counselling, psychotherapy or mental health care. If you are under the care of a mental health professional, please inform them of your participation in HERtribe.
• For the experience to be beneficial, participants agree to communicate honestly, remain open to reflection and feedback, and engage with full presence and personal responsibility.
   

7. Record Retention Policy

If a retreat or session includes coaching, your name, contact details, and any relevant session notes may be retained for up to two years following the experience. This information will be securely stored and not shared with third parties except under the confidentiality exceptions listed above.

8. Use of AI for Session Summaries

To support reflection, an AI tool may be used during coaching-based sessions to generate transcripts and summary notes:

• It does not record or store video; audio is deleted after the session.
• Transcripts are stored securely on EU-based servers and accessed only by the coach.
• Clients may request a summary or opt out of AI use at any time.

9. Privacy Policy

We collect and store personal data (e.g., name, contact details, dietary/health needs) to manage your participation in HERtribe events. We will:

• Use your data only for HERtribe communications and logistics.
• Never sell or share your data with third parties.
• Store data securely and retain it only as long as necessary.
• Comply with the UK GDPR and Data Protection Act 2018.

10. Intellectual Property

All materials and exercises shared at HERtribe events are the intellectual property of HERtribe. They may not be copied, reproduced, or distributed without written permission. They are for personal use only.

11. Liability

HERtribe is not responsible for any loss, injury, or damage incurred during participation in events. You join at your own risk and are responsible for your personal wellbeing and decisions.

12. Agreement

By booking and attending a HERtribe event, retreat or coaching session, you confirm that you have read, understood and agreed to these Terms and Conditions.
